Ireland Elopement Retreat Terms & Conditions

1. Agreement Overview

By booking a spot for the Ireland Elopement Retreat (August 7–11, 2026), you (“Participant”) agree to the following Terms & Conditions. This agreement is entered into between Cedar Cone Photography / Cedar Cone Elopements (“Organizer”) and the Participant.

2. Retreat Investment & Payment Terms

The standard retreat investment is $5,000 USD.

An optional shared accommodation package is available for an additional $1,500 USD, which includes:

  • Shared accommodation (5 nights)

  • Local group transportation during the retreat

  • Bed & Breakfast (B&B)

A non-refundable retainer of $2,500 USD is required to reserve your spot.

The remaining balance of $2,500 USD is due by June 23, 2026.

A 4-installment interest-free payment plan may be available for participants who choose to pay the full retreat balance upfront through the approved payment provider.

All payments are in USD.

If the remaining balance is not paid by June 23, 2026, the Organizer reserves the right to cancel the Participant’s spot without refund of prior payments made.

If the Participant chooses not to attend the retreat but does not formally cancel prior to June 23, 2026, the Participant remains fully responsible for payment of the remaining balance.

Credit card transaction fees may apply to final payments.

3. Cancellation Policy

The $2,500 retainer is non-refundable under all circumstances.

If the Participant cancels before June 23, 2026, any payments made beyond the non-refundable retainer may be refunded at the Organizer’s discretion, minus any applicable processing fees.

No refunds will be issued for cancellations made on or after June 23, 2026.

If the Organizer cancels the retreat for any reason, all payments made by the Participant toward the retreat will be fully refunded.

No refunds, credits, or partial reimbursements will be provided for:

  • Late arrivals

  • Early departures

  • Missed sessions

  • Voluntary withdrawal from the retreat

  • Failure to attend scheduled shoots or activities

The Organizer will not pause, delay, or modify the retreat schedule for late participants or personal scheduling conflicts.

3.1 Chargebacks & Payment Disputes

By submitting payment for the retreat, the Participant acknowledges and agrees to the retreat’s cancellation and refund policies.

Participants agree not to initiate chargebacks, payment disputes, or payment reversals for any payments made toward the retreat, including after the retreat has concluded.

No refunds will be issued outside the terms outlined in this agreement.

In the event of a payment dispute or chargeback initiated by the Participant, the Organizer reserves the right to pursue recovery of funds, associated fees, attorney fees, court costs, legal expenses, and any related damages to the fullest extent permitted by law.

4. Transfers

Retreat spots may not be transferred without prior written approval from the Organizer.

If a transfer is approved:

  • The replacement participant must sign the retreat agreement and all related documents before the transfer is considered valid.

  • Until the replacement participant has fully completed the transfer process and signed all required agreements, the original Participant remains fully liable for all retreat payments and obligations.

The Organizer reserves the right to deny transfer requests at their discretion.

5. Retreat Experience & Schedule

This retreat is designed to provide an immersive photography experience involving multiple couples, styled shoots, educational guidance, travel experiences, and collaborative group participation.

The retreat schedule, locations, models, themes, styling concepts, shoot flow, accommodations, and activities are subject to change at any time based on:

  • Weather conditions

  • Safety concerns

  • Model availability

  • Travel disruptions

  • Illness

  • Vendor availability

  • Other unforeseen circumstances

In the event of poor weather, certain shoots may be:

  • Modified

  • Relocated

  • Re-themed

  • Delayed

  • Canceled entirely

If a model becomes unavailable or ill, the Organizer will make reasonable efforts to secure a replacement, but replacement models are not guaranteed.

Any refunds, credits, adjustments, or accommodations related to these circumstances are solely determined at the Organizer’s discretion. The Organizer shall be the primary and final decision-maker regarding all retreat modifications and related resolutions.

6. Participant Conduct

Participants agree to treat the Organizer, retreat team, models, vendors, and other participants with professionalism and respect at all times.

Participants agree not to engage in:

  • Disruptive behavior

  • Harassment

  • Verbal abuse

  • Physical abuse

  • Unsafe conduct

  • Behavior that negatively impacts the retreat experience for others

Participants are expected to respect the creative flow and shooting experience for all attendees and may not intentionally interfere with another participant’s shooting experience or the Organizer’s direction.

The Organizer reserves the right to remove any participant from the retreat at any time due to misconduct, disruptive behavior, verbal abuse, physical abuse, harassment, unsafe conduct, or failure to follow retreat guidelines.

No refunds, credits, or reimbursements will be provided in such cases.

7. Attendance Responsibility

Participants are solely responsible for arriving on time for all scheduled retreat activities.

The Organizer will not delay shoots, transportation, or activities for absent or late Participants.

Participants who miss any portion of the retreat due to lateness, illness, personal scheduling, transportation issues, or voluntary absence will not receive refunds, credits, rescheduled sessions, or compensation.

8. Travel & Insurance

Participants are responsible for:

  • Flights

  • Passport/visa requirements

  • Personal transportation outside retreat inclusions

  • Travel documentation

  • Personal expenses

  • Meals not specifically included

Travel insurance is strongly recommended and should ideally include:

  • Trip cancellation coverage

  • Medical coverage

  • Travel disruption protection

9. Health & Safety

By attending the retreat, Participants confirm they are physically and mentally capable of participating in the retreat activities, including hiking, uneven terrain, early mornings, extended travel days, and outdoor shoots.

Participants assume full responsibility for their personal safety and belongings throughout the retreat.

10. Media Release

Participants grant the Organizer permission to use photographs and video footage captured during the retreat for promotional, educational, website, portfolio, social media, advertising, and marketing purposes without compensation or additional approval.

11. Intellectual Property

All retreat concepts, styling direction, educational materials, workflows, planning resources, creative direction, and retreat structure remain the intellectual property of the Organizer.

Participants may not reproduce, teach, replicate, sell, or use retreat concepts as part of competing workshops, retreats, or educational experiences without prior written permission.

12. Content Usage & Credit Requirements

Participants agree to appropriately credit and tag the Organizer and all collaborating vendors when publicly sharing images created during the retreat.

This includes, but is not limited to:

  • Models

  • Hair & Makeup Artists

  • Florists

  • Designers

  • Venues

  • Other participating vendors

A complete vendor credit list will be provided following the retreat.

13. Privacy & Participant Information

The Organizer respects participant privacy and will not share participant contact information or personal details with other attendees.

Participants may voluntarily share their information with other participants during or after the retreat if they choose to remain in contact.

14. Liability Waiver & Hold Harmless

By participating in the retreat, Participants acknowledge and accept all risks associated with travel and participation in retreat activities.

Participants agree to release, waive, and hold harmless the Organizer, Cedar Cone Photography, Cedar Cone Elopements, contractors, assistants, models, vendors, and affiliates from any claims, liabilities, damages, injuries, losses, accidents, delays, expenses, or legal actions arising from participation in the retreat.

This includes, but is not limited to:

  • Personal injury

  • Property loss or theft

  • Travel disruptions

  • Illness

  • Weather-related issues

  • Accidents during transportation or shoots

  • Third-party vendor issues

15. Force Majeure

The Organizer shall not be held liable for failure or delay in performance due to circumstances beyond reasonable control, including but not limited to:

  • Natural disasters

  • Severe weather

  • Government restrictions

  • Transportation disruptions

  • Pandemics

  • Acts of terrorism

  • Civil unrest

  • Illness

  • Vendor cancellations

16. Governing Law & Legal Venue

This agreement shall be governed by and construed in accordance with the laws of the State of Washington, USA.

Any disputes, claims, or legal proceedings arising out of or relating to this agreement shall be exclusively resolved in King County, Washington.

The Participant agrees that any legal fees, attorney fees, collection costs, court costs, or related expenses incurred by the Organizer in enforcing this agreement shall be the responsibility of the Participant.
